As Paul was unavailable, i have attended a meeting tonight on the clubs' behalf, for all the groups / clubs that use the scout hq and have been asked to re-clarify some points, and put forward some new items that affect all users of the premises.
1. if you eat take-away food or similar please ensure you are sitting at a table to avoid spillages onto the floor,
2. please remember to take any and all rubbish away with you when you leave, and this also applies when we hold events like tournaments / open days etc. it is the responsibility of the organiser(s) to ensure this is done, and to arrange for someone to take home for disposal / do this themselves.
3. all groups have been asked to observe that eating, drinking and smoking is not allowed down either side of the building, i.e. through either of the fire doors or just outside the front door under the canopy. if you do any of these outside then please use the car park and road area. this request is because one of the groups is a pre-school, and they specifically asked this tonight as they want to avoid the kids picking up anything they shouldn't etc.
4. if you need to collect tables belonging to the scouts from the upstairs room, then no matter how you find them, when you return them please leave them folded up and stacked in the appropriate place. do not put the tables up / out again when putting them back in the room even if this is how you found them.
5. again, no matter where we find them please can we put all the chairs in the downstairs hall stacked against the back wall, also please ensure the small wooden tables are put into two piles against the wall next to the table cupboard no matter where they were when we arrived.
6. please do not drag chairs or tables across the floor, or slide anything across it.
ALL groups have been asked to comply with the above, not just us.
of the two points i raised on our behalf, i was told that we will not be able to use storage space in either of the cupboards downstairs, as they are reserved by the main scout groups and the pre-school who hire the hall every day.
as from tonight the rolls of material that were blocking one of our cupboard doors will now be stored elsewhere, and we should not now have to move them each week to gain access to the far part of our cupboard. however, if you do find them (or anything else not ours) in front of the cupboard, please tell a committee member.
lastly, there are plans that at some point in the not too distant future, the room we store our own tables in will be made into a permanent meeting room, and as such no storage will be allowed in it.
this means we should make a concerted effort to sell off as many tiles as possible, and replace them with mats as we will eventually need to store our white tables on top of the cupboard, and this means most of the boxes need to go.
the committee will need to discuss this further at a meeting later this month, but if you have any suggestions please let us know asap, along with any other points you want to put to the committee.
